Challenge
A psilocybin wellness company needed a more organized operating system for managing clients, employees, sessions, tasks, content, compliance-related information, and internal workflows. The system needed to be useful for a small team without becoming too complex to maintain.
My role
I collaboratively supported data structure and workflow design using Airtable. The work focused on turning a broad operational need into a practical database, CRM, and portal-style foundation.
Approach
The engagement prioritized lightweight structure and day-to-day usability. Instead of designing a large custom system, the work centered on Airtable structures that could support client and employee interaction while remaining understandable to the team.
Work performed
- Helped clarify operational needs across clients, employees, and internal workflows.
- Designed Airtable structures for clients, employees, sessions, tasks, content, and compliance-related information.
- Supported CRM functionality for relationship and client management.
- Helped build a portal-style workflow for clients and employees.
- Focused on usability and maintainability for a small team.
Outputs
- Airtable database structure.
- CRM foundation for client and relationship management.
- Portal-style workflow for client and employee interaction.
Outcome
The company now has a functioning Airtable-based database, CRM, and portal foundation for client and employee interaction.
Constraints
- Client name anonymized.
- Payment workflows excluded.
- Sensitive industry context kept high level.
